Schengen Visa for a Northern Lights Trip from India: Complete 2026–27 Guide

Planning a Northern Lights trip from India and wondering about the visa? Here's the short version: yes, you'll need a Schengen visa, and the paperwork is the one part of the trip most people underestimate. The good news is that for a well-documented group tour it's a straightforward process — this guide walks you through exactly what to apply for, when, and the documents that actually matter.
This is written for travelers joining either of VacMode's two Lapland itineraries — the November Scandinavia aurora tour or the March Ice Breaker Special — but the visa rules apply to any Finland, Sweden or Norway trip.
Do Indian passport holders need a visa for a Northern Lights trip?
Yes. Finland, Sweden and Norway are all part of the Schengen Area, and Indian citizens need a visa to enter. For a holiday of up to 90 days you apply for a Schengen Short-Stay (Type C) visa for the purpose of tourism. A single Schengen visa covers all three countries — you don't apply separately for Finland, Sweden and Norway even though the tour crosses all of them.
For country-specific entry rules and the latest requirements, see our dedicated visa guides for Finland, Sweden and Norway.
Which country's visa do you apply for?
This trips up a lot of first-timers. The Schengen rule is simple:
Apply to the country where you'll spend the most nights (your main destination).
If the nights are split evenly across countries, apply to the country you enter first.
Both VacMode Northern Lights itineraries begin in Finnish Lapland and spend the most nights in Finland, so you apply through the Finland visa route. Because the night split can vary slightly by departure, it's always worth confirming your exact itinerary before you file — our travel desk tells every guest which consulate to apply to and why.
When should you apply? (The timeline that actually matters)
Winter is peak season for Schengen applications, and appointment slots at visa centres fill up fast from October through March. Plan around these numbers:
You can apply as early as 6 months before departure.
Standard processing is up to 15 calendar days, but during winter peak it can stretch to 30–45 days.
Our strong recommendation: book your biometric appointment and submit at least 4–6 weeks before departure. Earlier is safer in Nov–Feb.
The most common reason travelers miss a Northern Lights departure isn't flights or weather — it's leaving the visa to the last three weeks. Start early.
Schengen visa document checklist
This is the heart of the application. Missing or weak documents are the number-one cause of delays and rejections. Here's what you'll need:
Passport — valid for at least 3 months beyond your return date, with 2 blank pages, issued within the last 10 years.
Completed Schengen application form, signed.
Two recent photos to Schengen specification (35×45 mm, white background, taken within the last 6 months).
Confirmed round-trip flight bookings covering your full travel dates.
Confirmed hotel bookings for every night of the stay — this is where a group tour helps, because your accommodation is already locked in.
Day-wise travel itinerary showing your movement across Finland, Sweden and Norway.
Travel medical insurance with minimum €30,000 coverage, valid across the entire Schengen Area for your travel dates (more on this below).
Financial proof — personal bank statements for the last 3–6 months, income tax returns for the last 2–3 years, and recent salary slips.
Employment proof — a No-Objection / leave letter from your employer, or business registration and tax documents if you're self-employed.
Cover letter explaining the purpose and dates of your trip.
For students, retirees and homemakers the financial and employment documents differ slightly (a sponsor's papers, pension statements, etc.) — tell us your situation and we'll tailor the checklist.
Visa fees and where to apply in India
Schengen applications from India are handled through VFS Global visa centers in major cities. You'll pay two things:
The Schengen visa fee — €90 for adults (roughly ₹8,000–8,500 depending on the exchange rate), €45 for children aged 6–12, and free for children under 6.
A VFS service charge on top, usually around ₹1,800–2,000 per applicant.
Fees and processing norms are revised periodically, so treat these as a guide and confirm the current figures when you book your appointment. Biometrics (fingerprints and a photo) must be given in person at the center, unless you've submitted them for a Schengen visa within the last 59 months.
A note on travel insurance — it's part of the visa
Schengen-compliant travel medical insurance isn't optional; it's a visa requirement. This is one area where the two VacMode tours differ, and it's worth knowing before you budget:
The March Ice Breaker Special already includes travel insurance in the package — one less policy to arrange, as long as it meets the €30,000 / Schengen-wide requirement.
The November tour does not include insurance, so you'll buy a compliant policy separately for your travel dates. Any standard international travel insurance covering the Schengen Area for at least €30,000 works.
We'll confirm exactly what your chosen departure includes so there are no surprises at the visa centre.
Why Schengen visas get rejected — and how to avoid it
Rejections almost always come down to a handful of avoidable issues:
Weak financial proof — low or erratic bank balances, or statements that don't match the trip cost. Keep a healthy, stable balance in the months before you apply.
Unclear travel intent — no confirmed flights, hotels or itinerary. A group tour solves this automatically, since everything is pre-booked and documented.
Insufficient ties to India — the consulate wants to see you'll return home. Employment, property, family and ITRs all help.
Applying too late — rushed applications are more likely to have gaps.
The honest advantage of travelling on an organized tour is that your flights, hotels, insurance and day-by-day itinerary are already in order — which is exactly the documentation a visa officer is looking for.
